1. About the service

Reefer Logbook (ReeferTrip Pro) is an online trip-sheet and fleet-accounts application for reefer and goods transport companies. It calculates expected diesel from kilometres, vehicle mileage and reefer running hours, and records diesel fills, bill photos, road/border expenses, driver advances, settlements and approvals.

By creating a company account or logging in, you (the company and every user it adds) agree to these Terms.

2. Accounts and users

The person who signs up is the company admin and is responsible for every driver, verifier and admin account they create, for keeping PINs and passwords secret, and for removing users who leave.

Each mobile number and email can belong to only one company. Repeated wrong PIN/password attempts temporarily lock login for security.

3. Free trial, price and payment

New companies get a 15-day free trial with all features. To continue after the trial, the subscription is ₹1,500 (Indian Rupees) per company for every 30 days, paid in advance.

Payment can be made online inside the app (UPI / card / net banking through Razorpay) — 30 days are added automatically once the payment is confirmed — or by UPI/bank transfer to the app owner. We do not store your card or UPI details.

About 3 days before the trial or paid period ends, a WhatsApp reminder is sent to the company's WhatsApp number.

If payment is not received, access for that company's users is paused after the trial or paid period ends. Your data is kept and becomes available again once payment is made.

Payments are non-refundable once a 30-day period has started, except where required by law. Prices may change with at least 30 days' notice; the new price applies from the next period.

4. Your data

All trip sheets, vehicles, drivers, photos and accounts you enter belong to your company. Each company's data is kept separately and is not visible to other companies.

We use your data only to run the service (for example calculations, reports, reminders and WhatsApp messages you trigger). We do not sell your data.

You are responsible for the accuracy of the data you enter and for having your drivers' consent to store their name, mobile number and trip details.

You may ask us to delete your company account and data. Data may be kept in backups for a limited time.

5. Calculations and responsibility

Diesel, balance and report figures are calculated from the numbers entered (KM, mileage, reefer hours, litres per hour, rates). They are estimates to help checking and are not a guarantee of actual fuel use.

Final approval of trip sheets, payments to drivers and any decision about a driver remain the company's responsibility.

6. Acceptable use

Do not upload false bills, illegal content or other people's data without permission; do not try to access another company's data, overload, copy or reverse-engineer the service.

We may suspend accounts that break these rules.

7. Messages

WhatsApp messages (trip submitted, approved/rejected, statements, reminders, weekly alerts, renewal reminders) are sent to numbers you enter. Normal WhatsApp/telecom terms apply.

8. Availability and liability

We work to keep the service available and secure but it is provided "as is"; short interruptions may happen for maintenance or reasons outside our control.

To the maximum extent allowed by law, our total liability is limited to the subscription amount you paid in the last 30 days. We are not liable for indirect losses such as lost business or fuel disputes.

9. Changes and law

We may update these Terms; continued use after an update means you accept it. These Terms are governed by the laws of India, and courts in Andhra Pradesh / Telangana have jurisdiction.
